Frequently asked questions

  • Yes. With a free Microsoft account, you can use free web and mobile versions of apps like Word, Excel, PowerPoint, and Outlook. A Microsoft 365 subscription adds premium benefits, including desktop apps for PC and Mac, additional cloud storage, enhanced security features, and AI-powered experiences.
  • If the free web and mobile apps meet your needs, you can continue using them at no cost. Note, free functionality is subject to change. Microsoft 365 subscriptions add premium benefits that may include desktop apps for PC and Mac, Microsoft Copilot experiences, additional OneDrive cloud storage, enhanced security features, and an ad-free Outlook experience, depending on the plan. For people who want premium productivity tools, more storage, AI-powered experiences, and additional security features, Microsoft 365 provides more capabilities than the free experience.
  • Microsoft 365 subscriptions can include premium versions of Word, Excel, PowerPoint, Outlook, OneNote, and Microsoft Teams, along with services such as OneDrive cloud storage and Microsoft Defender, depending on the plan. Eligible subscriptions also include Microsoft Copilot experiences that help you draft content, analyze data, create presentations, summarize information, and accomplish tasks more efficiently.
  • It depends on the size and needs of your team. Microsoft 365 Family and Microsoft 365 Premium or Microsoft 365 Pro can work well for solopreneurs, freelancers, and very small teams that don't need centralized IT administration or business management features. Both plans can be shared with up to 5 people, although Copilot AI features are available only to the subscription owner. For growing teams that need business email, user management, advanced security, and organization-wide collaboration tools, a Microsoft 365 business plan is typically a better fit.
  • Microsoft 365 Family can be shared with up to 5 people, giving each person access to Microsoft 365 apps and their own OneDrive storage. However, Copilot features are currently available only to the subscription owner and can’t be shared with other family members. If other family members want access to Copilot features, they’ll need their own eligible Microsoft 365 subscription.
  • Microsoft 365 offers several plans to fit different needs:

    • Microsoft 365 Basic includes 100 GB of cloud storage, security features, and select Microsoft 365 benefits. It does not include full desktop apps or advanced AI features.

    • Microsoft 365 Family includes the same core benefits shared with up to 5 people, with 1 TB (1000 GB) of OneDrive storage per person. Copilot AI features are available only to the subscription owner.

    • Microsoft 365 Premium includes everything in Family, plus advanced Copilot features and higher AI usage limits available for individuals.

    • Microsoft 365 Pro includes the highest usage available for Copilot and the ability to share certain benefits with up to 5 people including advanced security, cloud storage, and innovative apps.
